Annual meetings and leadership gatherings
Annual meetings and leadership gatherings videography and photography in Connecticut
An annual meeting packs a year of decisions into a few hours: leadership remarks, slides, updates, questions and time to connect. We plan video and photo coverage around your agenda and your rules about what may be recorded, so the people who could not attend can follow along and the leadership team has a clear visual record.
Video for the session record and the people who could not attend
Video comes first in our planning because the meeting itself is spoken: presentations, updates, questions and answers. We can record the main session as a single steady camera or with several angles, then edit speaker and slide together so a remote colleague sees what the room saw.
The organizer decides which sessions, slides and financial segments may be recorded, and we work inside those limits.
Photography of leadership, speakers and attendees
Photography covers what video cannot hold still: portraits of the board or executive team, speakers at the podium, attendees in conversation and breakout groups at work. Images suit the internal newsletter, intranet, annual report or a recap message to staff.
- Board or executive group portraits
- Speakers and panel members
- Attendees and networking during breaks
- Breakout sessions and working groups
Questions before you decide?
Annual meetings happen at many points in the year, and we are available throughout it. Share your date, location and coverage needs so we can prepare a scoped quote.
How video and photo are planned together at a leadership gathering
Video and photography are planned together. A single operator cannot video a keynote and photograph a board portrait at the same moment, so the agenda tells us where a second operator is worth discussing, for example when a breakout runs during the portrait window.
We work out camera positions that stay out of the sightline of the audience and the screen.
How we plan and cover your annual meeting
We start with the video record of the session, then fit photography around it, so both follow your agenda and your confidentiality rules.
Before the meeting
We ask what the meeting is for, who will view the result and which sessions, slides and financial segments may be recorded. We agree the coverage window, venue, deliverables and a scoped quote, and we ask for one organizer contact who can answer questions about the agenda and approvals.
Preparing speakers and attendees
We share a simple note for presenters: where to stand, how to use the microphone and what the camera will see. For portraits we ask for a list of names and a time when the board or executive group can gather, so nobody is pulled out of a session to pose.
Coordinating the room and the AV team
We talk with the AV team or venue about the slide feed, speaker microphones, Q and A microphones and breakout rooms. With their agreement we may take an audio feed, and we check lighting, screen glare and access so our positions never block the audience.
On the day
We arrive for the agreed setup, check audio and framing against the first presenter, and follow the agenda and break timing as it moves. If a breakout and a portrait overlap, we use the additional operator discussed in advance. We keep candid moments candid and direct only when it helps.
After the meeting
We explain the planned edit and gallery: how speaker and slides are combined, how sound and color are handled and what formats you receive. We agree review and delivery checkpoints, plus any limits on sharing confidential material, so the files reach the right people.
Choosing video, photo or both for your meeting
If the main goal is a record for absent members, video is the core. If you need leadership portraits and recap images for internal communications, photography may be enough. Many organizations want both, and we can explain how each choice affects staffing, room positions and what you receive.

Common questions
Can we limit what you record?
Yes. The organizer decides which sessions, slides and financial segments may be recorded or photographed, and we work inside those limits. We suggest naming a single contact who confirms the rules, so presenters and staff are not left guessing.
Do we need both video and photography?
Not necessarily. Video suits a session record for people who could not attend, and photography suits portraits and recap images. Many meetings use both. We can explain what each choice means for staffing and room positions once we see your agenda.
Can you work with our AV team?
Yes. We coordinate with the AV team or venue about slides, microphones and any audio feed, and we ask permission before connecting to anything. If a feed is not available, we can discuss other audio options when we plan.
How is the quote prepared?
We prepare a scoped quote from the date, location and coverage needs, including how many sessions and breakouts you want covered and the deliverables you need. Share your agenda and we will confirm what fits at inquiry.
